USING THE DATA ENTRY FORM

FIELDS ON TOP OF PAGE

1. A city will be assigned to you by Joel Weintraub.  Select that city in the CITY dropdown list

2. Enter your name in the VOLUNTEER field.  You can enter it in any format you like (last name only, first and last name separated by space, first and last name with no space, etc) as long as we can identify you from it.  Please select one format and use it consistently.

3. If you want to add any comments to your work, press the DO COMMENTS button.  Those comments will become a permanent attachment to the work you are submitting.  Joel might give you additional instructions as to what format the comments should be in.

4. At any time you can save your work on the server simply by pressing the SAVE button.  You should do this frequently so as to avoid losing data.  You can resume your work at a later time by simply selecting the city, entering your name, and pressing the LOAD button.  But here is where consistency with your name in the VOLUNTEER field is very important.  If you save your work with the volunteer name of "steve morse" and then try to load it back using the volunteer name of "stevemorse", it will not load.  And if you've forgotten the exact name you used when you saved it, you won't be able to reload it by yourself and you'll have to send me an email asking me to locate it on the server.

5. When you have completed a city and have saved your work on the server and finished checking it over, send an email to Joel.  At that time he will review it and give you feedback.  If he finds no problems with it, he will run it through a program that reformats it so that it can be used by the One-Step 1940 ED Finder.
 

FIELDS ON BOTTOM OF PAGE

1. To specify that Main Street is in ED 23-15, enter Main in the STREET field and 15 in the ED SUFFIX field, and then click on the ENTER button (or press the ENTER key on your keyboard).  Do not enter the ED prefix (23 in this case) -- it will be entered automatically when you select the city (all EDs for the city will have the same prefix).

2. Do not enter the word "Street" when entering Main Street in the STREET field.  However, if the designation is anything other than street, (for example, Avenue), it must be entered.  Use the following abbreviations (without a period) when making such entries in the STREET field:

Al -- Alley
Av -- Avenue
Blvd -- Boulevard
Ct -- Court
Hwy -- Highway
La -- Lane
Pkwy -- Parkway
Pl -- Place
Rd -- Road
3. After you make an entry, note that the STREET field is cleared out but the ED SUFFIX field retains the last value you entered.  This makes it easy to enter a sequence of streets, all in the same ED.

4. If you wish to remove an entry, you need to select it and then press the REMOVE button.  You select the entry by using the UP and DOWN buttons to get to the entry that you want.  Or you can select it by typing in the ED and the street (need only be the beginning letters of the street) and pressing the GO-TO button.  The currently-selected entry is always shown in red.

5. If you wish to modify an entry, start by removing it.  The values that the entry had will now appear in the STREET and ED SUFFIX fields.  Modify those values and then press ENTER.  The modified value will now be entered.

6. As you keep making entries, they will appear in a column.  The maximum number of entries in a column is specified by the ROWS PER COLUMN field.  For your convenience, you'll probably want to adjust that number so that the entire column will be visible on your screen without the need for vertical scrolling.

7. You can re-sort your work at any time so that it is either sorted by street name or sorted by ED.  You'll probably want to keep it sorted by ED as you are making your entries since you'll most likely be entering all the streets from a particular ED at one time.  But later you'll probably want to sort by street name to make sure that you spelled the name of a street consistently in the various EDs that it passes through.
